Inventory Officer

JOB TITLE: Inventory Officer

Department: Inventory/Store Operations

Reports To: Chief Auditor

Role Summary

The Inventory Officer is responsible for managing, tracking, and controlling all stock within RAYCOM. This role ensures accurate inventory records, proper stock handling, and availability of products while minimizing losses, damages, and discrepancies.

Key Responsibilities

1. Stock Management & Control

  • Maintain accurate records of all incoming and outgoing stock

  • Monitor stock levels and ensure the availability of fast-moving items

  • Prevent stock shortages and overstocking

2. Inventory Recording & Updates

  • Record all stock transactions (purchases, sales, transfers)

  • Update inventory systems or logbooks in real-time

  • Ensure proper labeling and categorization of products

3. Stock Receiving & Verification

  • Inspect and verify all incoming goods against purchase records

  • Confirm quantity, quality, and condition of products

  • Report any discrepancies or damages immediately

4. Stock Auditing & Reconciliation

  • Conduct routine stock counts (daily, weekly, monthly)

  • Reconcile physical stock with recorded inventory

  • Work with auditors to resolve discrepancies

5. Loss Prevention & Accountability

  • Monitor stock movement to prevent theft, loss, or misplacement

  • Ensure proper storage and handling of products

  • Report suspicious activities or irregularities

6. Coordination with Sales & Operations

  • Provide sales team with accurate stock information

  • Ensure fast-moving items are always available for customers

  • Communicate low-stock alerts to management for restocking

1. Office Administration & Coordination

  • Oversee daily office operations and ensure smooth workflow

  • Coordinate communication between departments (Sales, Accounts, HR, Inventory, etc.)

  • Ensure office systems and processes are properly followed

2. Staff Supervision & Support

  • Supervise administrative staff and support teams

  • Ensure staff attendance, punctuality, and discipline

  • Assist management in enforcing workplace policies

3. Documentation & Record Management

  • Maintain accurate office records, reports, and files

  • Ensure proper documentation of internal communications and approvals

  • Organize and secure confidential company information

4. Communication Management

  • Handle internal and external communications on behalf of management

  • Respond to emails, inquiries, and official correspondence
